First, check whether baggage reclaim has finished
Ask the airline or handling staff whether unloading is complete and whether your item is being delivered separately. A golf case or stroller may need a different collection point; ask rather than assume it is lost. If the bag is still missing, request the airline's delayed-baggage procedure. Do not leave a controlled area merely to find your driver before checking what the airline requires.
Make the report and keep its reference
Have your boarding pass, baggage receipt, flight number and a clear description or photograph of the suitcase ready. Include each missing item and its tag number. Follow the reporting channel your airline confirms for this arrival, whether a staff-assisted report or an available online service. Save the confirmation and the baggage-file reference, often called a PIR. This is separate from your transfer booking reference. If a submission fails, ask the airline representative what to do before you leave.
Tell dispatch while you are still dealing with the bag
Reply in your existing transfer booking conversation with your booking name, flight number and current location. Say that you are reporting missing baggage, and update dispatch when you are cleared to leave. Waiting for delayed baggage is included in our booked airport pickup; this does not include a later dedicated trip to collect a suitcase. If your phone is offline, ask airline staff about a way to contact your booked operator; our phone and connectivity guide helps you prepare.
A message you can copy
Booking name: [name]. Flight: [number], arrived at LRM on [date]. I am still in [location] reporting [number] missing bag(s). Destination: [hotel or villa]. Please confirm the pickup arrangements. I will message again when the airline has finished the report and I can leave.
Use the actual hotel or villa address
Give the airline your full property name, address, reachable phone number and the dates you will stay there. For a transfer to Casa de Campo, specify the hotel or villa and any relevant reception contact. For a transfer to Bayahibe or a transfer to a Dominicus resort, use the exact property name rather than only 'La Romana'. Ask reception whether and how it can receive an airline baggage delivery. A room number alone is not a delivery address.
After the report, confirm where to meet
Once the airline's required steps are complete and you are cleared to leave, tell dispatch you are ready and follow the agreed pickup instructions. The driver cannot enter the restricted baggage area to file the report or retrieve a suitcase. Use the guide to finding your driver if you cannot see the name sign. Tell dispatch which bags and equipment you actually have with you; a missing stroller or golf case may change your immediate needs, but do not assume a different vehicle or seat is available without confirmation.
Later delivery, collection and hotel changes
Ask the airline who will contact you, whether delivery or collection applies, and what authorization or customs steps are needed. A bag arriving on another flight is not necessarily ready for handover. Do not return to LRM based only on a tracker location. Your hotel transfer carries your party; it is not an automatic baggage courier service. Any additional journey needs a separate agreement and quote.
If you are changing hotels during your stay, update the baggage case through the airline's confirmed channel and notify any assigned delivery contact. Give the date and full new address; do not assume changing your transfer booking also changes the airline's file. Keep receipts for necessary purchases and ask the airline about its claim procedure, without assuming reimbursement or a delivery deadline.
Confirm your airport pickup
Keep the airline baggage case and transfer booking separate. For the ride, send the flight, destination, passenger count and current luggage details, then confirm the arrangements in writing.
See how LRM pickup worksQuestions we get on this
- Should I leave baggage reclaim immediately to meet my driver?
- First clarify and complete the airline's required missing-baggage steps. Notify dispatch while you do this, then confirm your pickup once you are cleared to leave.
- Does the driver know that my suitcase is missing?
- Not from flight tracking. Send dispatch a message. Waiting for delayed baggage is included in our airport pickup, but any later collection journey must be agreed separately.
- Can the driver collect my bag tomorrow?
- Do not assume so. The airline must confirm release, authorization and delivery or collection arrangements. A separate vehicle journey would require availability and a written quote.
- What if a stroller, golf bag or mobility aid is missing?
- Include the item in the airline report and tell dispatch what you now have with you. If it affects safe travel, clarify the necessary arrangements before leaving; do not assume replacement equipment is available.
